At the Event Catering Group, we take your privacy seriously and want you to be confident in the way we collect and handle your personal data. In this privacy statement we have provided information on when and why we collect your personal information, how we use it and how we store it, including the limited conditions under which we share it with others; but don’t worry- we never sell, rent or trade information with other businesses for marketing purposes!

Like most websites we use cookies to collect information about browsing behaviour when you access our website (www.eventcateringgroup.co.uk) via the same computer or device.  This includes information about pages viewed and your journey around the website.  We do not use cookies to collect or record information on your name, address or other contact details.

Mailing List

We operate a mailing list but can be confident that any details you provide through our website will be retained by us for so we can deliver great food and a quality service. Your details will be only be further used to email out updates and newsletters with news and offers. At anytime you are free to opt out.

Catering Enquiries And Initial Proposals

When you make an enquiry requesting a catering proposal from us, we will collect and record information on your name, phone number, e-mail and billing address so that we can communicate any amendments and further requirements with you. Throughout this process we store these provisional bookings and e-mail correspondence in Microsoft Outlook and the proposals are held electronically on the cloud-based Google drive and accessed via password protected computers.

We will automatically delete your information and any associated proposals from these systems if you give us notice that you do not wish to proceed any further.

Invoices

If you instruct us to cater for your event we will issue a deposit invoice (and at a later stage a further invoice for the balancing payment) which will include your full name, billing address, delivery address (if different), telephone number and E-mail address. These invoices will be stored on an online cloud accounting platform and retained for a period of 6 years in line with the current UK tax guidance. During this time our appointed accountants, A&B Matters, will have access to the invoices as they administer our accounts and finances. Their own privacy policy can be viewed here:

Event Day and Afterwards

On the day of your event we will produce a printed version of your proposal complete with your personal details and full itinerary for the day for the chef and catering team to work from in the kitchen and at your venue. At the end of your event we will shred the paper version of your proposal, including your personal details, and put it through the recycling process as normal.

After your event we will retain an electronic copy of your proposal, including contact details, event location and menu choices for a period of 3 months or until the end of the calendar year, whichever is longer, after which time we will automatically delete them. We keep the information for this period so that we can deal with any complaints or disputes that may arise and to complete an annual business analysis of our services and locations. We will not use any of your details to sell on, rent or swap any details with other marketing companies.

Your Rights

You are entitled to view, amend or delete personal information that we hold at any time. To do this please E-mail your request to our operations manager at darren@eventcateringgroup.co.uk

Updates and Review

Whenever we add a service or update one of our existing services that effects what data we collect from you or how use it we will update this statement, making you aware of it as soon as possible.  

Even if such a change has not affected this statement, we will review it at least once a year in any case and let you know if we had to make any changes.  This policy was last updated on 6th July 2020.
